Position Summary

As a Compliance Coordinator for O’Day Equipment, you will work to build and maintain a high level of customer service for O’Day Equipment customers. The Compliance Coordinator will work to solve our Customer’s Service compliance needs through dispatching, scheduling, paperwork completion, equipment and knowledge of state laws/requirements. The Compliance Coordinator will maintain our Service contract processes and will ensure the Compliance Technicians have everything they need to perform the required regulatory testing.

  6. Metrics to evaluate capacity, profitability, scheduling, performance

Activities

Service Contract Processes

  • Service Contract Setup in Signature Service system
    • Work with Sales team to produce quotes and site surveys
    • Keep customer equipment list up to date in customer accounts
  • Service Contracts are completed each year
    • Schedule Testing Technicians to efficiently complete contracts
      • Set up service calls in Schedule System
      • Schedule calendar
      • Accountable for Efficient Scheduling and Dispatching of Testing Technicians
      • Maximize number of appointments in zones
      • Schedule a route to maximize testing
      • Schedule by test type with seasonal changes into account
    • Work with CSR Department to schedule other Technicians
    • Obtain and Review for accuracy all testing paperwork from Technicians
    • Disperse testing paperwork to proper state and/or customer
    • Archive testing paperwork in O’Day system
  • Follow-up with customers on testing paperwork
    • Work with customers on testing failures and next steps
    • Work with Sales, Service and Construction on failures and next steps
  • Contract Renewals
    • Verify customer equipment and testing needs annually
  • Maintain “Wait List” for testing activities for Non-Contract customers

Knowledge of State Laws and Regulatory requirements

  • Maintain list of regulatory testing requirements by state for petroleum equipment
  • Maintaining and keeping “Testing certifications” and continuing education for ALL Technicians
    • Certifications needed to perform service kept up to date
  • Maintaining Testing forms and documentation

Accountable for Providing Outstanding Customer Service

  • Communicate with customers timely on testing schedule
  • Communicate with state agencies on customer testing
  • Provide complete, accurate, testing documentation is a timely manner
  • Maintain a positive attitude

Technician Testing processes and procedures

  • Have knowledge of technician procedures to assist with holding them accountable
    • Working knowledge of MobileTech
    • Testing documentation submission process

Maintaining Testing Equipment

  • Report any Testing fleet needs
  • Track Testing equipment by branch and technician
    • Ensure calls that are scheduled with available equipment
    • Maintain schedule of testing equipment such as water trailers
    • Water trailers, line testers, provers, water pumps, etc.
  • Maintain annual testing equipment certifications
    • Provers annual certification
  • Ensure all testing equipment in proper working order
    • System for reporting of broken or unavailable equipment
  • Request any testing equipment needs to management

Continuing Education

  • Keep updated on any state/federal regulation changes
  • PEI Recommended Practices
    • RP100, 200, 500, 900, 1200
  • Franklin Compliance testing
  • Knowledge of how Cathodic Protection Testing works
  • Knowledge of how Line testing works
  • Knowledge of how leak detector testing works

Metrics to evaluate capacity, profitability, scheduling, performance

  • Develop metrics
  • What extra sales are generated from Testing activities

Other

  • Normal Business hours, 8 a.m. to 5 p.m.
  • Following the routines as laid out in the procedure manual
  • Other duties as assigned
